Job Title: Finance & Administration
Employment Type: Full-Time
Salary: $75,000 + super
Reports To: General Manager
Located in Outer Harbour 700 metres from the train station with free on-site car parking.
This role is being offered as a full-time role and is not offered as a work from home position.
About the Role
We are a membership based Incorporated Club which operates in a completely different eco-system:
- Membership based revenue model
- Seasonal cashflow swings
- Committee and Management Committee reporting dynamics
We are seeking a highly capable and self-motivated Office All-Rounder with exceptional finance experience to be the backbone of our day-to-day operations. This is a dynamic, hands-on role suited to someone who thrives on variety, takes genuine ownership of their responsibilities, and brings a strong financial acumen to everything they do.
You will be the go-to person across administration, finance, and office coordination — someone equally comfortable reconciling accounts as you are greeting a member or organising the office calendar.
Key Responsibilities
Finance & Accounting
- Daily XERO reconciliations across multiple accounts.
- Daily XERO invoicing.
- Accounts Payable uploading of invoices.
- Develop & Implement debt management and collection procedures.
- Maintain accurate records.
- Collaborate on various accounting duties as needed.
- Ensure timely creation of invoices, including credits to holding account funds.
- Maintain member information and payment details.
- Support internal and external audit processes.
Office Administration & Operations
- Managing day-to-day office functions including correspondence, scheduling, and supplies
- Maintaining filing systems (digital and physical) and ensuring document control compliance
- Providing executive support to the General Manager as required
- Fielding incoming calls and acting as a professional first point of contact
About You
- Minimum 3–5 years' experience in a combined finance/administration role
- Demonstrated proficiency in XERO accounting software
- Certificate IV or Diploma in Accounting, Business Administration, or equivalent — a degree is advantageous but not essential
- Exceptional attention to detail with a high degree of accuracy in financial processing
- Strong organisational skills with the ability to juggle competing priorities without dropping the ball
- A proactive, can-do attitude and genuine pride in keeping things running smoothly
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and exercise sound professional judgement
- Proven workplace experience in a member-based environment.
